EMC has introduced EMC Documentum Information Rights Management (IRM) Services and EMC Documentum Records Manager 5.3 two complementary content management software offerings that are now unified with the EMC Documentum enterprise content management (ECM) platform, the company says. Both are designed to help companies respond faster to changing regulatory requirements while enabling more secure information sharing and disposal.

Most records management solutions today only address records stored within corporate repositories, leaving any copies of those records stored on individual employee computers or anywhere else outside the corporate firewall exposed to potential security and legal threats, says Dave DeWalt, president, EMC Software Group.

Documentum IRM Services aims to combine EMC content management software with information rights management technology from the acquisition of Authentica. The software is intended to give content owners more control over information access and use, including the ability to restrict user access, set up watermarks, block printing or forwarding to unauthorised recipients and revoke the ability to open a file.

According to EMC, it also maintains a complete audit trail of document activity and allows administrators to change user privileges at any time even as files are copied or distributed outside the corporate firewall. By leveraging the Documentum platform, Documentum IRM Services can extend the security of information that is in transit, giving customers additional levels of control over information, wherever it is located, EMC adds.

Documentum Records Manager 5.3 is designed to provide more flexibility and control over the entire lifecycle of corporate records from creation and protection to access and destruction. The software is intended to take advantage of a service-oriented architecture (SOA), simplifying integration with other business applications and internal systems.

As a result, customers have more flexibility in implementing the right level of records management functionality based on specific business needs from basic record retention to a full Department of Defence 5015.2-compliant records management solution, Dell concludes.
